When Planning Gets Away From You: A Busy Mom’s Guide to Getting Back on Track

Wow… what a whirlwind the last month and a half has been. My daughter wrapped up her regular dance season, jumped straight into nationals practice, finished 9th grade, and completed her confirmation — and we could not be more proud of her. But between her schedule, all the year‑end festivities, two full‑time working parents, a broken car, and just a little more chaos than I typically juggle this time of year… my site definitely took the hit.

So today, as a busy mom who loves to plan but sometimes gets swallowed by life’s curveballs, I want to talk about what to do when the planning gets away from us — or when time simply slips through our fingers. Because if you’ve ever looked up and thought, “How did we get here already,” you’re in good company.
1. Start With a “Grace Reset”
This may sound simple, but it’s the most important step: give yourself grace. We’re human. Life gets away from us. When the planning starts to slip, take a deep breath and remind yourself that it’s okay. You can still make the absolute best of your trip — whether you’re leaving in a month, a year, or next week.
Offering yourself grace creates space to move forward in a positive way. It helps release that unnecessary stress we tend to pile on ourselves, especially when we feel behind. And honestly? A calmer mindset makes planning so much easier.
2. Reconnect With Your Priorities
Once you’ve given yourself that grace, it’s time to get grounded again. A simple way to do this is to break everything into three clear categories:

✨ What Matters This Week
Start with anything that has a real deadline. Are you at your dining reservation window? Is your Lightning Lane booking date coming up? Is a payment or room request due?
If the answer is no, it doesn’t belong here. This category is for the truly time‑sensitive items.
✨ What Can Wait
These are the tasks that feel urgent but aren’t actually urgent. Maybe it’s choosing dining. Maybe it’s mapping out your Lightning Lane strategy. Maybe it’s researching transportation options.
If you’re worried about forgetting something, set a reminder in your personal or work calendar. It’s one of my favorite ways to make sure nothing slips through the cracks.
✨ What Can Be Simplified
This is where you ask yourself: Am I overthinking this? Are you stressing about airport transportation? Are you spiraling over which character meal is “the best”? Are you drowning in Facebook opinions and TikTok tips?
Remember — what works for one family doesn’t have to work for yours. Use those resources for inspiration, not pressure.
3. Do a 10‑Minute Triage
When life is chaotic, breaking things down into tiny steps can make a huge difference. Grab a notepad or your computer, set a 10‑minute timer, and brain‑dump everything swirling in your head. Don’t edit — just get it all out.
After about five minutes, look over your list and circle the top three things that actually need attention. Chances are, the rest can wait. This quick exercise gives you clarity, momentum, and that little dopamine boost of “Okay, I’ve got this.”
4. Choose One Small Win
From those top three items, pick one thing you can complete today or this week. That’s your shining star.
A small win might look like:
Ordering that Amazon item you need for your trip
Making your packing list
Sending an email with a question
Giving yourself 10 minutes to scroll and research
Your win doesn’t have to match anyone else’s. It doesn’t have to be big. It just has to feel like progress.
5. Rebuild Your Planning Rhythm Slowly
Now that you’re easing back into planning, don’t rush to “catch up.” Build your rhythm slowly.
Try:
A 15‑minute evening reset
A Sunday planning ritual
A midweek check‑in
Consistency beats intensity — very tortoise‑and‑the‑hare energy. Slow and steady truly does win the race.
6. Use Tools That Actually Help (Not Overwhelm)

Every planner out there will tell you their system is the best. And maybe it is — for them. But the truth is, everyone has their own way of staying organized.
If you’re a handwritten checklist person, embrace it. If you love digital planners and reminders, lean into that.
Figure out what works best for you and set your own pace. Not only does this put you back in control, but it also breaks planning into manageable pieces so you don’t get overwhelmed again.
7. Celebrate What You Did Do
As you wrap things up and get back into your planning groove, don’t forget to celebrate your wins. For me, it’s usually buying some Disney merch I absolutely don’t need — like my 250th pair of anniversary ears. Did I need them? No. Did I book my Disney cruise and feel like celebrating? Absolutely.

Your celebration doesn’t have to be a purchase. It could be watching your favorite Disney classic with your family or simply acknowledging, “Hey, I did that.”
Enjoy the process as you go — because that joy is what makes the trip feel even more magical.
At the end of the day, planning isn’t about perfection — it’s about creating moments, memories, and magic for the people we love. Life will always throw curveballs, schedules will shift, and time will slip away faster than we expect. But with a little grace, a few small wins, and a rhythm that works for you, you can always find your way back into the flow. So take a breath, reset when you need to, and remember: every step you take, no matter how small, brings you closer to the trip you’re dreaming of. And you deserve to enjoy the journey just as much as the destination.
